How to Say No Without Burning Bridges

Refusing isn’t the issue—making the other person feel dismissed is. In text, short refusals often sound colder than intended.

Why refusals sound harsh

  • No acknowledgement
  • No reason (looks like avoidance)
  • No alternative (conversation ends abruptly)

The 3-step structure

  • Acknowledge: “Thanks for the request—got it.”
  • Reason (brief): “I can’t fit this in today due to …”
  • Alternative: “I can do it by tomorrow morning / I can handle part of it.”

Example

Before: “Can’t do it.”
After: “Thanks for the request—unfortunately I can’t fit it in today due to schedule. I can deliver it by tomorrow morning if that works.”
